Front Desk/Data Entry Specialist

Position: Front Desk/Data Entry Specialist
Location: Hanson, AFB 
Reports to: M&FRC

Hours: 0800-1600

Position Summary
The Front Desk/Data Entry Specialist serves as the first point of contact for the Military & Family Readiness Center at Hanscom AFB. This role blends customer-facing reception duties (phones, walk-in visitors, class scheduling) with clerical data entry and reporting responsibilities in Air Force systems. Candidates should be comfortable with high day-to-day public contact and disciplined, accurate data entry against a hard performance standard. 

Key Responsibilities
  • Answer 100% of incoming phone calls and greet 100% of walk-in visitors; determine the nature of the call/visit and direct clients to the appropriate M&FRC program manager.
  • Schedule clients for M&FRC classes and workshops; provide clear, accurate information on routine procedural questions.
  • Enter and maintain all required data in the Air Force Family Integrated Result Statistical Tracking (AFFIRST) system, including Transition Assistance Program (TAP) data
  • Send class/workshop reminder emails one week prior to start date (or per program manager's timeline).
  • Meet a data entry accuracy standard of 85% within 2 business days of entry.
  • Ensure all clients sign in; generate a monthly client usage report in the format set by M&FRC management, due to the Chief of M&FRC and COR by the 5th business day of the month.
  • Maintain front desk appearance daily — straighten chairs, materials, and publications; report inoperable equipment; light housekeeping (trash removal, minimal vacuuming/dusting).
Required Qualifications
  • Minimum 1 year of customer service experience.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Windows) and general web-based applications; able to troubleshoot basic issues independently.
  • Strong working knowledge / comfort operating standard office data entry devices and systems.
  • Able to pass a Common Access Card (CAC) background check and fingerprinting, and pass an Information Assurance exam for network/LAN access.
  • U.S. citizenship or eligibility for CAC issuance and installation access (required for on-base employment).
  • Able to work on-site, Mon–Fri, 0800–1600, at Hanscom AFB.
Preferred Qualifications
  • Basic understanding of military protocol, support-group organizations, and family systems in a military setting.
  • Demonstrated ability to communicate effectively with a diverse public-facing population.
  • Prior experience in a front desk, reception, or general clerk role within a government or military-adjacent setting.
