Front Desk Assistant / Administrative Support
Military & Family Readiness Center (M&FRC) – Minot AFB, ND Government Background Required Position Type Full-Time, Contract Position
Schedule: Monday–Friday, 7:30 AM – 4:30 PM (up to 40 hours/week)
Position Summary The Front Desk Assistant provides non-personal administrative and customer service support to the U.S. Air Force Military & Family Readiness Center (M&FRC). This position serves as the first point of contact for customers, supports the Transition Assistance Program (TAP), and performs clerical, records management, and data entry functions in accordance with Air Force policies and procedures.
Key Responsibilities Front Desk & Customer Service
Greet visitors and answer incoming telephone calls in a professional and courteous manner
Determine the nature of inquiries and direct customers to appropriate staff or offices
Provide general, non-technical information regarding M&FRC programs and services
Ensure customers complete required forms, including Statements of Understanding (SOU)
Maintain the M&FRC Outlook appointment calendar
Administrative & Clerical Support
Prepare, edit, proofread, and process correspondence, reports, and documents
Screen and route incoming and outgoing mail and electronic correspondence
Maintain suspense dates and administrative trackers
Download, distribute, and maintain publications and forms as requested
Requisition office supplies and coordinate printing or administrative services
Data Entry & Records Management
Perform TAP and customer data entry using AFFIRST, ACCESS, and other automated systems
Establish, maintain, purge, and dispose of records in accordance with AFI 33-322
FIOA experience required
Serve as the primary Records Custodian for the M&FRC
Maintain file plans, electronic and hardcopy records, and reference materials
Prepare and consolidate time and attendance records
Systems & Office Automation
Use Microsoft Word, Excel, Access, and other office automation tools to produce reports, spreadsheets, charts, and presentations
Assist with basic troubleshooting of office systems and software
Support development of training aids and provide hands-on training as needed
Required Qualifications
Proficiency in Microsoft Office (Word, Excel, Access)
Strong written and verbal communication skills
Knowledge of proper grammar, spelling, punctuation, and document formatting
Ability to organize, assemble, and summarize information for reports and correspondence
Professional customer service skills with tact and discretion
Ability to manage multiple tasks and prioritize deadlines
Preferred Qualifications
Familiarity with Air Force terminology, programs, or military environments
Experience with records management or administrative support in a government setting
Experience with AFFIRST, TAP, or similar database systems
Work Environment & Requirements
Government-furnished workspace, equipment, and systems
Business casual attire required; name badge must be worn
Background check and network access approval required
Must comply with all Minot AFB security, safety, and traffic regulations
