Bailey Information Technology, LLC is currently interviewing dedicated and detail-oriented administrative professional to support the Defense Health Agency as a Task Manager Journeyman Assistant. This role is crucial for managing administrative tasks and offering strong support to leadership, helping ensure the efficient functioning of the office.
Key Responsibilities:
Calendar and Scheduling:
Managing the customers calendar, including scheduling meetings, appointments, and supporting travel.
Ensuring timely reminders and preparation for meetings.
Communications:
Drafting and editing internal and external communications, including emails, reports, and presentations.
Ensuring professional and timely communication with all stakeholders.
Preparing and distributing meeting minutes.
Maintaining accurate and organized records, including documents, files, and reports.
Ensuring compliance with company record-keeping policies.
Administrative Support:
Handling phone calls and email inquiries.
Sorting and distributing mail.
Ordering and managing office supplies.
Assisting with special projects as needed.
Providing support for meetings, events, and conferences.
Compliance and Policies:
Staying informed about relevant regulations and industry standards.
Requirements:
Required 3-5 years’ experience supporting executives in an Executive Assistant capacity.
Ability to communicate professionally with all levels of management
Strong customer service, organizational and interpersonal skills; problem solving and analytical abilities; and attention to detail.
Proficiency in MS Office (Word, PowerPoint, Excel, Outlook), SharePoint
Proficiency with Defense Travel System and the Joint Travel Regulations
